This policy explains how we collect, use, store and disclose personal information when you interact with our website, coaching services, applications, forms, payment systems, social media or in-person services.

We may collect information including your name, contact details, date of birth, emergency contact, billing and transaction details, training and nutrition history, goals, availability, equipment access, health and injury information, medications, allergies, intolerances, dietary preferences, body measurements, check-in responses, food journals, progress information, photographs, videos, communications and information about your use of our website, app and services. Health, injury, dietary and related information may be sensitive information. We collect this information where reasonably necessary to provide safe and personalised coaching and where you have consented or collection is otherwise permitted by law. You may choose not to provide certain information, but this may limit our ability to safely provide, personalise or continue a service.

2. How we collect information

We usually collect information directly from you when you make an enquiry, complete a consultation or onboarding form, purchase or use a service, attend an appointment, communicate with us, submit check-ins, food records, photographs or videos, or interact with our website, social media or advertising. We may also receive information from a parent, guardian, authorised representative, health professional, referral partner or service provider where you have authorised this or where it is otherwise lawful.

3. How we use personal information

We will not use sensitive health or nutrition information for unrelated marketing without your consent.

4. Third-party platforms and service providers

We may use third-party providers to operate our business and deliver services, including coaching platforms such as Everfit, payment providers such as Stripe, website and hosting providers such as Squarespace, Google Workspace, email, messaging and video-call platforms, accounting systems, cloud storage, Meta and Instagram, and professional advisers. These providers may collect, store or process information on our behalf and may have their own privacy policies. We take reasonable steps to use reputable providers and disclose only information reasonably required for the relevant service.

5. Overseas storage and disclosure

Some service providers may store or process information outside Australia. The countries involved may include Australia, the United States and other locations used by our technology providers. Where required, we will take reasonable steps to ensure overseas disclosures are handled consistently with applicable Australian privacy requirements.

6. Payment information

Payments may be processed through Stripe or another nominated payment provider. TSC generally does not receive or store full credit-card or bank-account details. We may retain payment status, subscription, invoice, refund and transaction records for administration, business and legal purposes.

7. Website, cookies and analytics

Our website may use cookies, pixels and similar technologies to operate website functions, understand usage, measure advertising performance, remember preferences and improve our services and marketing. These tools may be provided by Squarespace, Google, Meta or similar providers. You may be able to manage cookies through your browser settings, although disabling cookies may affect website functionality.

8. Marketing communications

Where permitted by law, we may use your contact details to send information about TSC services, educational content, promotions, events and business updates. You may unsubscribe at any time using the unsubscribe option in a communication or by contacting us. Unsubscribing from marketing will not prevent necessary service, appointment, account or payment communications. We do not sell personal information to advertisers.

9. Photographs, videos, testimonials and progress information

Photographs, videos, technique footage, food records and progress information may be used internally to provide coaching, monitor progress and review services. We will not publish your name, image, testimonial, training footage, progress result, health information or nutrition information for advertising, social media or promotional purposes without separate consent. Marketing consent is voluntary and may be withdrawn for future use by contacting us.

10. Artificial intelligence and automated tools

TSC may use artificial-intelligence or automated tools to assist with administration, content preparation, baseline programming, meal-planning support or draft resources. Where these tools are used, TSC will apply human oversight, use information only where reasonably necessary, and will not rely solely on automated systems to make significant health or coaching decisions about a client. Sensitive information will not knowingly be entered into a public AI system unless appropriate privacy and security safeguards are in place.

11. Information security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Measures may include password protection, access controls, secure payment providers, multi-factor authentication, reputable cloud services, device security and limiting access to those who need the information. No online or electronic system can be guaranteed to be completely secure. Clients should avoid sending highly sensitive information through unsecured channels.

12. Data breaches

If we become aware of a suspected privacy or data-security incident, we will assess and respond to it promptly. Where required by law, we will notify affected individuals and the Office of the Australian Information Commissioner.

13. Retention and deletion

We retain personal information only for as long as reasonably required to provide services, manage the client relationship, meet legal, tax, insurance and business-record obligations, and respond to disputes or complaints. When information is no longer reasonably required, we will take reasonable steps to securely destroy or de-identify it, unless retention is required or permitted by law. Third-party providers may also apply their own retention and deletion policies.

14. Access and correction

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, incomplete or out of date. We may need to verify your identity before providing access or making a correction. In limited circumstances, access may be refused where permitted by law. Where appropriate, we will explain the reason and available complaint options.
